What a Content Factory Engagement Actually Delivers

A Sterling & Whitaker engagement is not a consulting report that sits in a shared drive. At the end of every project, your organisation receives a fully configured content factory: an audited and documented editorial strategy, a live pipeline built inside your existing project management tool (Asana, Monday, Notion, or equivalent), a populated content brief library with 30 to 60 ready-to-use templates, a 12-month editorial calendar framework, role-specific contributor playbooks for writers, editors, and designers, and a connected analytics dashboard pulling from Google Analytics 4 and your chosen SEO platform. Typical engagement timelines run from eight to sixteen weeks depending on team size and pipeline complexity. You get a working system, not a slide deck.

Service Modules: Choose Your Depth

Engagements can be scoped as a full factory build or as individual modules — ideal if you already have parts of your infrastructure in place.

Content Audit & Strategy Sprint

A two-week intensive that benchmarks your current content output against competitors, identifies gaps and opportunities in your topic coverage, and produces a 24-month editorial roadmap aligned to your commercial objectives. Delivered as a 40-page strategy document plus a live Miro board your team can iterate on.

Pipeline Design & Configuration

We design your end-to-end production workflow — from incoming brief to live URL — and then build it inside your tool of choice. Every stage is documented, every handoff is automated where possible, and every team member has a clear role card so the pipeline runs without constant managerial oversight.

Team Onboarding Programme

A structured four-session onboarding programme covering: editorial standards and brand voice, pipeline tool training, brief-writing craft, and quality gate processes. Sessions are recorded, supplemented with written playbooks, and followed by two weeks of Slack-based Q&A support to bed in the new ways of working.

Editorial Calendar Architecture

We build a 12-month master calendar that sequences your content pillars, maps seasonal and campaign moments, balances format types across channels, and assigns production lead times. Delivered in Notion or Airtable with automated monthly rollover logic so your team always has a populated 90-day horizon.

Analytics & Reporting Layer

We configure a Looker Studio dashboard drawing from GA4, Search Console, and your chosen SEO tool, surfacing the six metrics that matter most to your content goals: sessions, engagement rate, ranking position movement, leads attributed, content velocity, and editorial cycle time. Monthly review template included.

“The pipeline design module alone was worth the entire investment. We'd been using five different tools with no clear handoff between them, and the team was constantly asking 'where does this live?' Six weeks after Sterling & Whitaker rebuilt the workflow in Notion, that question had disappeared entirely. Onboarding new freelancers now takes two hours instead of two weeks.”

Common Questions About Our Services

Answers to the questions we hear most often before a first engagement begins.

Do you work with in-house teams only, or also with agencies?

Both. Roughly half our clients are in-house marketing or content teams inside mid-size Irish and European companies. The other half are content agencies that want to systematise their delivery so they can take on more clients without proportionally increasing headcount. The pipeline design work differs slightly between the two contexts, but the core methodology is the same.

What tools do you require us to use?

None. We design around your existing stack wherever possible. We have deep configuration experience in Asana, Monday.com, Notion, Airtable, Trello, and ClickUp on the project management side, and in WordPress, Contentful, Webflow, and HubSpot CMS on the publishing side. If you're on a tool we haven't listed, we'll assess it in the discovery call.

How long does a full factory build take?

For a team of five to fifteen people with an established content function, the typical timeline is ten to twelve weeks from kickoff to handover. Larger organisations — or those starting from near-zero infrastructure — should budget fourteen to sixteen weeks. We don't compress timelines at the cost of adoption; a system your team ignores is worse than no system at all.

What involvement do you need from our side?

We ask for a committed project lead on your team — typically the Head of Content or Marketing Manager — who can give us three to four hours per week during the engagement. Beyond that, we'll need two to three hours from team members for the onboarding sessions. We are deliberate about not demanding more than that; your team has work to do.
